Job Description

Position Summary:

The Registrar and Quality Assurance Lead implement Duke CE Africa’s learner experience and programme quality assurance protocols for all learning interventions to ensure compliance with relevant quality standards as prescribed by the applicable Quality Councils. The Registrar will implement sound academic administration processes as well as the maintenance and development of suitable infrastructure to ensure uninterrupted user-friendly support and advisory service to prospective and registered students as well as other parties and stakeholders. In addition, he/she will direct and manage the student admissions and registration process from applications, registrations and student support up to the completion of qualifications.

Essential Duties and Responsibilities:

  • Learner Experience Management
  • Programme Quality Assurance
    • Monitor and evaluate academic performance to ensure they meet graduation requirements
  • Supports the development of advertisements and promotional materials to ensure they contain accurate and sufficient information for prospective students
  • Manages teaching and learning infrastructure to support a distance learning institution
  • Implements the learner management system to ensure data integrity and compliance to POPIA
    • Accountable for the implementation of policies in respect of applications, registration, exemptions, re-admissions of students
    • Manage training schedules, including faculty allocation for all accredited programmes
    • Develop and implement recognition of prior learning (RPL) process learner registration and assessments.
    • Manage the certification process, keep accurate records of student transcripts and monitor adherence to policies.
    • Manage all student-related affairs
    • Support the finance team in managing student debt
    • Oversee training and quality control of non-formal programs in respect of system development and student registration process

Suitable and sufficient venues, IT infrastructure and library resources are available for students and staff in the programme.

  • Evaluate, monitor, and report on all relevant arrangements related to training:
  • Prepare Student Data and Quality Assurance Reports
    • Liaise with the Department of Higher Education and Training, Council on Higher Education, South African Qualifications Authority, relevant professional bodies, and other Higher Education Institutions regarding student data required
    • Prepare reports as required by Leadership
  • Risk assessment and mitigation
  • Learning and teaching
  • Assessment and moderation
  • Student support mechanisms (academic and other)
  • Staff support and development
  • Resource provisioning (including library resources)
  • Administration (including admission, issuing of results, and certification)
  • Quality management of the emergency processes.

Requirements

Position Knowledge, Skills and Abilities Required:

  • Strong working knowledge of electronic databases, especially in managing student data in line with POPIA requirements
  • Analytical and quantitative skills appropriate to the management of measures of student success and learning analytics
  • Able to establish strong professional and personal credibility with stakeholders, clients, and students
  • Strong analytical and report generation skills using and manipulating Excel and other data to reporting
  • Enjoys working in a fast-paced, customer-oriented environment in which commitment to a common mission and reliance upon and support of other team members is expected and valued.
  • Experience in quality management at a higher education institution of learning is highly recommended.
  • Knowledge of higher education policies related to teaching and learning, academic planning, and quality assurance
  • Demonstrated ability to manage self and own output and to work to tight deadlines while retaining impeccable levels of accuracy.
  • Experience in regulatory affairs and academic quality assurance processes within a higher education environment.

Education and Experience Requirements:

  • Relevant Honours degree or a Post Graduate Diploma in Higher Education or equivalent
  • Minimum five years of management experience in higher education in student support and/or quality assurance (private education provider, university, college or similar)
  • Proficient with Microsoft Outlook, Word, Excel, PowerPoint, Project
  • Proficient in the use of educational digital learning solutions and learner management systems

The role is based in Bryanston, Johannesburg and work is conducted from the office. This is not a rem
