As we continue to grow and expand our impact, we are seeking an exceptional and highly organized individual to join our team as an Executive Assistant amp; Office Coordinator. You will play a crucial role in providing comprehensive administrative support to our executive team, while managing office operations and ensuring the smooth running of our office space.
This multifaceted role requires a candidate who excels in organizational skills, thrives in a fast-paced environment, and is capable of handling a variety of tasks with precision and professionalism.
Responsibilities1. Executive Support:
- Manage and coordinate the Co-CEOs' calendars, appointments, and meetings, ensuring optimal time utilization and prioritization of tasks.
- Act as a liaison between the Co-CEOs and internal/external stakeholders, managing communication and facilitating effective information flow.
- Prepare and edit correspondence, communications, presentations, and other documents on behalf of the Co-CEOs.
- Handle incoming calls, emails, and requests, prioritizing and responding on behalf of the Co-CEOs when necessary.
- Undertake ad-hoc administrative tasks to support the executives in their day-to-day activities (including, but not limited to, reasonable personal admin tasks).
2. Office Management:
- Oversee day-to-day office operations, including but not limited to managing supplies, equipment, and facilities and the pricing thereof.
- Coordinate and organize company events, meetings, and conferences, handling logistics and ensuring smooth execution.
- Facilitating administration and execution of employee birthday and work anniversary celebrations, as well as assisting with the onboarding administration of new employees.
- Coordinate office maintenance and repairs, as well as provide general administrative support to the team as needed.
- Contribute to creating a productive and joyful office environment for the Pack to work in.
Requirements
- Proven experience as a personal assistant, preferably supporting C-level executives
- Experience in a startup or fast-paced corporate environment is a plus
- Exceptional organizational and multitasking abilities.
- Excellent written and verbal communication skills.
- Attention to detail and problem-solving skills
- Proficiency in MS Office (Word, Excel, PowerPoint)
- Familiarity with office management software and tools.
- Discretion and confidentiality in handling sensitive information.
- Joyful attitude and excellent interpersonal skills
- Ability to work independently, prioritize tasks effectively and take initiative.
