Purpose of Role:

The role of the Procurement Clerk is to ensure that the items and services are designed and purchased from specified suppliers. An important aspect of this role is seeking maximum value for the company through time and cost agreements while working with innovative design concepts. This exciting position combines design and procurement to ensure that the Group continues to innovate around education design and simultaneously promote cost efficiencies.

Reports To: Procurement Manager

Responsibilities:

  • Designs and improves product specifications through team consultation and independent design process.
  • Review and plan orders, create requisitions for purchased items and manages the approval process.
  • Transmits and prioritizes approved purchase orders and supporting documents to the supplier.
  • Tracks order acknowledgement, prepares and communicates shortage and backlog reports, and provides visibility of potential interruptions to internal customers.
  • Tracks orders and confirms system lead times, delivery dates, and costs.
  • Reviews, updates, and maintains purchase orders on the accounting system until they are closed.
  • Ensures orders adhere to supplier agreements and contracts and reports non-conformances.
  • Ensures that requests from various locations are aligned with the blue print, authorised by the relevant budget holder and aligned to the budget
  • Leads finance and logistics staff in resolving reception and invoice discrepancies.
  • Identifies opportunities and implements actions to achieve efficiencies.
  • Contributes to consolidation, reduction, and rationalization of the local supplier base.
  • Analyses the purchase request from the user departments and determines the appropriate method of procurement, quotation, tender, and request for proposal.
  • Provides assistance to user departments, when required, in the preparation of specifications, etc.
  • Arranges for samples, testing, and evaluation of new products.
  • Collaborates with staff on new standing agreements, ensuring staff awareness of product lines of new suppliers.
  • Contributes to the development and formulation of purchasing procedures and practices as required.
  • Participates in the annual reporting process.
  • Determine if inventory quantities are sufficient for needs, ordering more materials when necessary.
  • Contacts suppliers in order to schedule or expedite deliveries and to resolve shortages, missed or late deliveries, and other problems.
  • Ensures alignment to the budget and procurement process

Requirements

Qualifications and Criteria:

The ideal candidate will possess the following qualifications and criteria:

  • Matric
  • Bachelor’s degree in supply chain management, logistics, business administration or similar is advantageous

Experience:

  • 1 to 3 years of experience in the field of procurement.
