Job Description

The Site Administration and Cost Controller will be responsible for overseeing site administration activities, managing costs, and ensuring accurate financial reporting. Your expertise will contribute to the smooth operation of our mining site and the efficient utilization of resources.

Responsibilities:

Site Administration:

  • Manage the stores on site, ensuring proper inventory management and stock levels are maintained.
  • Prepare manual purchase requests and MPR (Material Purchase Requisition) orders.
  • Coordinate with procurement clerks, buyers, payments team, and creditors clerk to ensure a smooth procurement-to-payment-to-delivery process.
  • Liaise with stores to ensure accurate tracking of deliveries to the mining site and provide daily reports on input-output stock and closing stock.
  • Share a daily report on all open MPRs, including the status of each request.
  • Circulate daily reports on site stock reconciliation, weighbridge slip reconciliation, waybill book, and page reconciliation after verification.
  • Maintain survey reports and circulate them on a weekly basis after approval from the mine manager.

Asset Management:

  • Ensure accurate record-keeping of all tools and assets present on the mining site.
  • Regularly update the register with new acquisitions, disposals, and transfers.
  • Coordinate physical checks and audits to verify the presence and condition of tools and assets.
  • Generate reports on tool and asset utilization, loss, damages, and replacements as required.
  • Coordinate with procurement and finance teams to initiate purchase requests for new tools and assets when necessary.

Time amp; Attendance:

  • Perform daily timekeeping duties, including checking biometric attendance data and capturing payable working hours for sharing with the payroll manager.
  • Maintain employee files, employee register, and records of leave balances, disciplinary matters, and industrial relations (IR) issues.
  • Manage employee medicals register, Personal Protective Equipment (PPE) register, training register, and licenses register.
  • Collaborate with the HR Manager on disciplinary and IR matters.

Financial:

  • Maintain records of all credit card and petty cash spendings, including copies of invoices, reconciliations, and delivery notes. Perform daily reconciliations and circulate them to creditors clerks.
  • Maintain a register of machine hours used, including team parameters, excavation type, machine type, etc.
  • Capture machinery hire costs per hour.
  • Track diesel consumption.
  • Record production tally data.
  • Capture weekly summaries and figures.
  • Calculate cost per cubic meter (M3), compare it with the budget, and circulate the report on a weekly basis.
